This policy explains what personal information we collect through our website, why we collect it, how we use and protect it, and the choices and rights you have. We aim to write it in plain language. If something is unclear, email us and we'll explain.
2. What this policy covers
This policy applies to visitors to our website, people who request a free social media audit, people who contact us or subscribe to our updates, and our clients and prospective clients. It does not cover third-party websites or platforms we link to, such as Instagram, Facebook or LinkedIn, which have their own policies.
3. Information we collect
Information you give us
- Free audit and contact forms: your name, business name, website or social media handle, email address and phone or WhatsApp number
- Messages and enquiries: anything you write to us by email, form, chat or phone
- Newsletter or updates: your email address and preferences
- Client onboarding: business details, brand materials and account access you choose to share so we can deliver services
Information collected automatically
- Device and usage data: browser type, device type, operating system, language, pages visited, time on page, scroll depth, referring page and approximate location (city or country level) from your IP address
- Cookies and similar technologies: described in section 8
- Performance data: such as how quickly our interactive 3D pages load, to help us improve the experience
Information from public sources
When you request a social media audit, we review the publicly available profiles, content and metrics of the website or social accounts you tell us about. We do not access private accounts, and we do not ask for your passwords for the audit.
We do not knowingly collect sensitive personal information (such as health, financial account or government ID details) through our website. Please do not send it to us.
4. Why we use your information
- To deliver what you ask for: prepare and send your free social media audit, respond to enquiries, and book calls
- To provide our services: onboard clients, plan and manage content, run campaigns and report results
- To communicate with you: send confirmations, follow-ups and, where permitted, marketing updates you can opt out of at any time
- To improve our website and services: understand how visitors use our site and fix problems
- To keep things safe: prevent spam, fraud and misuse, and keep our systems secure
- To meet legal obligations: such as tax, accounting and regulatory requirements
Legal basis. Depending on where you live, we process your information because you gave consent, because it is needed to respond to your request or perform a contract, we have a legitimate interest in running and improving our business (balanced against your rights), or because the law requires it.
5. Consent and marketing
We ask for your consent clearly, in plain language, and never through pre-ticked boxes or misleading design. Submitting the audit form lets us prepare and send your audit. We will only send you marketing emails or messages if you agree. You can withdraw consent or unsubscribe at any time using the link in any email or by contacting us. Withdrawing consent does not affect processing that already took place, and it does not stop essential messages about services you've requested.
6. Who we share your information with
We do not sell your personal information. We share it only as needed with:
- Service providers acting for us: the tools we use to run our work, including Notion, Canva, Google Sheets, Google Drive, Instagram, Facebook, LinkedIn, and AI assistants such as Claude and ChatGPT, along with other tools such as website hosting and email. We share only what each tool needs for the task.
- Platforms you connect: such as social media and advertising platforms, only when you are a client and ask us to manage accounts or campaigns for you
- Professional advisers: such as lawyers, accountants and insurers, under confidentiality
- Authorities: when required by law, court order or to protect rights and safety
- A future owner: if STRATOVA is merged, acquired or sold, your information may transfer to the new owner under this policy's protections
Our providers may only use your information to provide services to us, and must protect it.
7. International transfers

Some of our service providers, such as cloud hosting, email and analytics providers, may store or process information on servers in other countries, including the United States and the European Union. Where information is transferred or stored outside your country, we take steps to protect it, such as choosing providers with appropriate safeguards and contractual protections, in line with applicable law.
8. Cookies and tracking
We use cookies and similar technologies to make the site work, remember your preferences and understand how the site is used.
- Essential: needed for the site and forms to function. Always on.

We keep information only as long as needed for the purposes in this policy.
- Audit requests and enquiries: up to 12 months after our last contact, unless you become a client
- Client records: for the length of our service and for 12 months after our service ends. We may keep invoices and tax records for longer where the law requires

When information is no longer needed, we delete or anonymise it.
10. How we protect your information
We use reasonable technical and organisational measures to protect your information, including encrypted connections (HTTPS), access controls limited to people who need the data, and trusted providers with security safeguards.
